Privacy Policy

1. Who we are

Tutelage ("we", "us") provides 1-to-1 online tuition through the website at tutelagelearning.com, the parent, student, teacher and admin portals, and the Tutelage Android app.

This policy explains what personal information we collect, why, who we share it with, and the choices you have.

2. Information we collect

  • Account details: the name, email address and phone number of parents, teachers and staff. Accounts are created for you by the Tutelage team.
  • Student details: a student's name and class or grade, provided by the parent or guardian or by Tutelage when the student is enrolled.
  • Learning records: class schedules and attendance, homework and submissions, grades and teacher feedback, study materials, and reviews and feedback.
  • Learning notes: the topics covered in each class and a short note from the teacher on how each student is doing, with a level such as "Getting there". They are visible to the teacher, the student's family and the Tutelage team.
  • Messages and files: messages, voice messages, photos and documents shared in class chats. The microphone is used only while you hold or lock the record button, and photos are shrunk and stripped of their location data on your device before they are sent. Chats are available to parents, teachers and the Tutelage team. Students do not have access to chat. If you edit a message, or delete it for everyone, we keep the original for the Tutelage team so the chat can be kept safe. People in the same chat can see when you are online and when you were last online; you can switch this off in More.
  • Phone notifications: if you turn them on in More, we store an address for that device, given to us by your browser or phone, so we can send chat alerts to it. Turning them off, or deleting your account, removes it.
  • Payment records: fees, dues and receipts recorded by the Tutelage team. We do not collect card or bank details in the website or app.
  • Teacher applications: name, email, phone, qualifications, experience, availability and a link to a résumé that applicants choose to provide.
  • Technical information: sign-in cookies, and standard server logs kept by our hosting provider. On our public website (not in the app or the signed-in portals) we use Google Analytics to understand how the site is used.
  • Contact: messages you send us by WhatsApp or email.

3. How we use information

  • To provide tuition: schedule classes, take attendance, share homework and feedback, and keep parents informed.
  • To communicate with you: send class reminders, summaries and notifications, including through WhatsApp.
  • To help teachers write class summaries and prepare for classes, using an AI service (see section 5). The teacher checks any AI-drafted text before it is saved or sent.
  • To run the service: keep payment records, match teachers with students, give support and keep accounts secure.
  • To keep everyone safe: review reports and remove content that breaks our community rules.
  • To improve our public website, using analytics.
  • To meet our legal obligations.

We do not sell personal information and we do not show advertising.

4. Children's privacy

Our services are used by children, so we keep children's information to the minimum needed to teach them.

  • Student accounts are created and managed by Tutelage on behalf of a parent or guardian. Children do not sign themselves up.
  • We collect a student's name, class or grade, and their learning activity, including homework they submit. We do not ask children for their location or contacts, and we do not use advertising or advertising identifiers.
  • Students have no chat and no public profile. Their work and progress are visible to their teacher, their parent or guardian, and the Tutelage team.
  • We do not use Google Analytics or any other analytics in the app or in the signed-in portals.
  • Students do not use the AI tools. Only teachers do, and the AI receives students' first names only.
  • A parent or guardian can ask to see, correct or delete their child's information at any time (see section 8).

5. Who we share information with

We share information only with service providers that help us run Tutelage, and only as needed:

  • Supabase: database, sign-in and file storage.
  • Vercel: website and app hosting.
  • Your browser or phone maker's notification service (for example Google on Android): delivering phone notifications you turned on. The content of each notification is encrypted, so that service cannot read it.
  • Meta (WhatsApp Business): sending class reminders and messages to parents' phone numbers, and a short alert that names the sender and the chat (never the message) when a chat message stays unread.
  • Groq: an AI service that drafts class notes and pre-class suggestions when a teacher asks for them. It receives the teacher's class notes, students' first names, topics, attendance, learning levels and homework marks, but no contact details, payments or homework that students wrote.
  • Google: Analytics on the public website only.

Teachers see the details of the students they teach, and parents see their own children's records. We may disclose information where the law requires it or to protect the safety of a child or another person. We do not sell personal information.

6. Cookies and analytics

We use cookies that are needed to keep you signed in. On the public website we also use Google Analytics cookies. Analytics is switched off in the Android app and on every signed-in portal page.

7. How long we keep information

We keep account and learning records while an account is active and for as long as we need them to provide the service. Payment and receipt records are kept for as long as tax and accounting law requires. Reports about chat messages are kept for as long as needed to keep the community safe. When you ask us to delete your data we act on it promptly and confirm when it is done.

8. Your choices and rights

You can ask us to access, correct or delete your personal information, or your child's. To ask us to delete an account and its data, use our data deletion page. It works without signing in, and when you are signed in there is a "Delete my data" link at the bottom of every portal page. We confirm who you are before we delete anything.

We may keep records that the law requires us to keep, such as payment records, and we tell you what we kept when we finish your request. In chat you can report a message and block a person, and in More you can switch off WhatsApp chat alerts and hide your online status. You can ask us to stop WhatsApp reminders by contacting us.

9. Security

We use encrypted connections (HTTPS), well-known hosting and database providers, and password-protected accounts. Each type of account (parent, student, teacher, admin) sees only what it needs in the app. No online service is completely secure, so please keep your password private and tell us straight away if you think your account has been misused.

10. International transfers

Our service providers may store and process information in countries other than yours.

11. Changes to this policy

We will post any changes on this page and update the date at the top. If a change is significant we will also tell parents directly.
